Administrative Support Staff (PT)
Individual and Family Connection (IFC) is a dual location pediatric therapy practice in Roscoe Village and River Forest. IFC serves children and families from 18 months through adulthood. We are looking to hire a full-time and part-time support staff members to provide administrative support to IFC’s therapists. This is a key position because the support staff is the first person our patients experience at our practice. You must have a positive attitude, be able to multitask, be detail oriented and willing to collaborate with a team of professionals. In the Support Staff role, you will need excellent communication skills as well as the ability to effectively, interacting with all levels of IFC management and staff, clients, and other external business contacts.
Job duties include:
- Conduct initial intake screenings over the phone, which include helping match each child with the right therapist.
- Communicate with patients, families, therapists and other healthcare members via telephone and/or email to schedule appointments, collect payments, answer questions about therapy.
- Verify insurance benefits and communicate with families about balances / insurance coverage as needed.
- Issue, scan, fax or locate documents (i.e. School excuse letter, discharge notes etc.)
- Use Electronic Health Record software for billing, scheduling, and record keeping purposes.
- Attend community outreach events as needed (such as the Developmental Differences Fair) to help families learn about our services.
- Assist with keeping the office clean, orderly, and well stocked with supplies.
- Provide additional administrative support to therapists as needed.
- Ensure compliance with current healthcare regulations, medical laws and high ethical standards.
Specific requirements include:
- Ability to learn quickly
- Ability to work independently with limited supervision.
- Ability to communicate and make positive relationships with all staff members, especially at the start in order to learn from other staff.
- Social perceptiveness and empathy.
- Ability to relate and communicate with diverse populations and groups.
- Understanding of basic insurance and pediatric mental health / counseling terminology.
- Experience in communicating with customers / clients about payments.
- Strong written and verbal communication skills.
- Ability to multi-task and perform well in stressful situations.
- Excellent organizational / time management skills with attention to detail.
- Understanding of the importance of maintaining the highest level of discretion and confidentiality.
- Ease in navigating electronic systems, as we are a paperless office that depends heavily on a variety of online systems to keep our office running smoothly (including GSuite, HelpScout, Theranest).
- Experience with children and communicating with parents.
Qualifications:
- Prior administrative support experience required; experience working in a therapy or medical office a plus.
- High School Diploma or equivalent GED preferred
